Face painting for school galas, market days and fundraisers.
School galas in South Africa run hundreds of kids through entertainment stations in a 3-5 hour window. Face painting is one of the highest-impact, lowest-friction options — but it requires planning. This guide covers throughput math, insurance requirements, pricing, and lead times specifically for school events.
The throughput problem
A 200-child gala means each child gets, at best, 1-2 minutes of any given station\'s attention. Face painting is fundamentally slower than that — full-face designs take 5-8 minutes per child. The fix is one of three approaches:
- Multi-artist team — 3 face painters running full-face = 90 designs in an hour. Doable but expensive.
- Cheek-art only — one artist doing quick cheek butterflies / cheek pumpkins = 25-30 kids/hr. Lower impact but covers the whole school.
- Mixed stations — one face painter doing full-face for the queue of kids who want it; one glitter-tattoo or balloon artist doing fast crowd work. Most common gala setup.

Pricing for school events
| Event size | Setup | Indicative cost (Gauteng) |
|---|---|---|
| Small school (50-100 kids, 3 hrs) | 1-2 artists | R1 400 - R3 900 |
| Medium gala (100-300 kids, 4 hrs) | 2-3 artists | R3 800 - R7 500 |
| Large gala (300-600+ kids, 4-5 hrs) | 3-4 artists | R6 000 - R12 000 |
| Market day (drop-in foot traffic, 5 hrs) | 1-2 artists, cheek-art only | R2 400 - R5 000 |
Insurance, indemnity and admin
- Public liability insurance — required by most schools. Ask the painter whether they carry it; those who do school work can usually supply the schedule on request.
- Guardian sign-off — for younger kids, schools sometimes require parents to sign permission slips. Most painters carry a simple form that doubles as an allergy disclosure.
- BBBEE — for state or government-funded school events, BBBEE certification is sometimes required. Filter the directory for painters who advertise BBBEE certification on their profile.
- VAT-compliant invoicing — schools paying out of operational budgets need proper invoices.
What to brief the painter on
- Total expected kid count
- Age range (under-5s, 5-9, 10+)
- Theme (if any) — sports day, fundraising market, end-of-year function
- Indoor or outdoor location, with shade availability
- Whether kids pay individually or face painting is included in the entry
- Set-up window and pack-down expectations
Pairing face painting with other entertainment
Schools often combine face painting with balloon sculpting and/or glitter tattoos to keep multiple queues moving. A 200-child gala with 1 face painter + 1 glitter artist + 1 balloon twister serves ~200 children comfortably in 4 hours, with most kids visiting 2-3 stations.
Booking via the directory
Browse the painter directory to find a listed painter in your school's region. For school work specifically, look for painters whose profile advertises public liability insurance and BBBEE certification.
